For Automating
MAILdb
Processing Steps

The MAILdb Robot allows you to automate several routine processing steps performed on your MAILdb data.

With the MAILdb Robot you can automatically :

Import Mail.dat jobs as soon as they become available.
After successfully importing each job, MAILdb Robot can optionally be set to:
  • Invoke ENTRYdb to optimize entry point assignments ... and then automatically update the MAILdb database with the results.
  • Generate customized Container Label Records.
  • Create the USPS Qualification Report.
  • Create the USPS Walk Sequence Report.
  • Export the Report information for distribution with the MAILdb Report Viewer.
Archive jobs that have been dormant for a specified period.
Export all of the jobs in a specified database.
Perform Batch Updates to modify the data in specified jobs.

The MAILdb Robot saves you time by automatically performing some of the more repetitive and time-intensive MAILdb tasks in the background while you concentrate on other things.

You can even leave the MAILdb Robot running overnight or on weekends.

And multiple MAILdb Robots can be set to run concurrently.

An operation log tracks the date, time, file name and success or failure of each import operation. A more detailed log file, stored in your Temp directory, is also referenced.

MAILdb Robot is Easy to Use

An easy-to-use wizard interface allows for quick set-up.

Just select which task you want the MAILdb Robot to perform.

Automatic Job Importing

For automatic importing, simply specify which directory will contain the jobs to be imported, where to store these jobs, which MAILdb database to update and where you would like the log files to be stored.

When you start the MAILdb Robot, it will minimize itself and stay that way, operating quietly in the background, until you decide to stop it.

Every few seconds, the system will check the specified source directory for new jobs. When a new job is found, it is moved to the storage directory and MAILDB is invoked to begin the import.

After the import is complete, MAILdb Robot performs any other operations (such as entry point optimization and report creation) that you have specified and then begins checking again for new jobs.

And While You're At It ...

You can add additional steps to the MAILdb Robot's list of tasks to perform after importing.

Would you like to optimize the entry point assignments for all the containers in the job?

Just specify the ENTRYdb scenario you want to use and where you want to store the report files showing the results.

You can even specify which version of the U.S.P.S. postage rates you want to use in the optimization calculations — current, previous or future (if available).

The MAILdb Robot will automatically update your MAILdb database with the optimized entry point assignments.

Report files documenting the results of the optimization are automatically created and stored in the specified folder for your use. Results are stored in three levels of detail:
  • Overall Job Results
  • Results by Entry Point
  • Results by Container
Each of these reports is stored in both plain text (.txt) format, which can be opened and read in WordPad, Notepad or any other text editor, and in comma-separated-value (.csv) format, which can easily be imported into spreadsheet programs.

You can also save time by automatically generating Container Label Records as each job is imported.

Just select the setup file to use and MAILdb Robot will generate them with Mailer Information and User Information customized to your specifications.

Would you like to also create the USPS Qualification Report information? Walk Sequence reports? How about exporting this report information for distribution with the MAILdb Report Viewer?

Couldn't be simpler. Just click to select any or all of these reporting options and MAILdb Robot will create them for you automatically.

The reports are created as the last steps of the job import process. This ensures that, even if you have specified entry point optimization as a MAILdb Robot option, the report information is always in agreement with the database.

Automatic Job Exporting

You can Export all of your jobs in a similarly automated fashion. The MAILdb Robot will export all of the jobs in a specified MAILdb database to a directory of your choosing.

Automatic Job Archiving

And you can automatically archive as well. You specify when a job qualifies to be archived by the number of days since it was last modified.

For example, you can specify that all jobs in the SampleDB database that have been dormant for at least 30 days should be archived.

When you start MAILdb Robot, it will continuously monitor the database and automatically archive any jobs that have been dormant for the specified period.

Automatic Batch Updating

MAILdb Robot will automatically apply update information to selected jobs in a database as soon as that information becomes available.

You specify where the update information will be, which MAILdb database to update and where you would like the log files to be stored.

Every few seconds, MAILdb Robot will check the specified location for new update information. When new information is found, the MAILdb Batch Update function is invoked to update the jobs.

MAILdb Robot ...

It's easy.   It's time-efficient.   And ... it's automatic.

If your operation processes a large number of Mail.dat files each day, then MAILdb Robot is your tool of choice for optimizing throughput and minimizing production bottlenecks.
